Following our Microsoft Copilot blog - Copilot Champions: One Month with Copilot for Microsoft 365, we spoke about the internal working group we formed named the ‘Copilot Champions’ where various members of the team from our IT Services division trialled a pilot programme of Copilot for Microsoft 365, to gain greater insight into the technology, to enable us better educate our clients on its benefits. Read the blog for a recap of how their first month with Copilot for Microsoft 365 went.
In our Copilot for Everyday blog series, each Copilot Champion will explore how Copilot for Microsoft 365 supported their specific job roles. This piece is from Janine Chattenton, Head of Managed and Professional Services at Sharp UK.
Introduction
As the Head of Managed and Professional Services within Sharp UK’s IT Services division, I have many responsibilities and tasks to manage every day. I need to oversee the delivery of high-quality services to our clients, manage the performance and development of our teams, and coordinate with other departments and stakeholders. It can be overwhelming and time-consuming to keep track of everything and ensure that nothing falls through the cracks.
On average I receive around 150 emails a day (yes you read that right), often these are where I am in CC for information. I also interact with around 25 Teams chats with constant activity each day. Finding the time to catch up on those emails/chats, alongside the production of reporting documentation can sometimes be challenging.
How Copilot Has Helped My Role
The introduction of Copilot within Sharp IT Services offers me a chance to understand how this exciting new tool can help me automate and streamline my workload. Copilot is a cloud-based platform that integrates with the tools and systems I use every day, such as email, calendar, project management, and more. It uses artificial intelligence and natural language processing to understand my needs and preferences and to provide me with personalised and proactive support.
- Copilot has been hugely helpful in summarising emails and Teams communication when I have been unavailable.
- Using Copilot for Teams meetings, I’ve managed to be fully engaged and allow Copilot to take the notes and actions. It's very accurate!
- Copilot for Outlook provides some very accurate responses based on the history of the email, with only a few prompts.
- Copilot helps me to review data and look for trends making reporting far quicker.
The Benefits of Copilot
Most often, I rely on Copilot to provide me with a quick update to an email trail or advising on what I’ve missed from my Teams chats when away from my computer. It’s great to use when drafting an email for inspiration and also critiquing the tone for you.
During meetings, through using transcribe I can easily capture action points which are very accurate and allow me to be fully engaged with meetings knowing that with a few clicks at the end, I can recap in writing the subject matter.
Most recently, and I’d say so far the most time-saving action we’ve performed, I wrote a business case, and used some coaching during this process, for a new role within Sharp IT Services. I then used Copilot to analyse the document and create an accurate list of duties which fed into the Job Description. The action took less than a minute and would likely have been a 30-minute thought and writing process.
Since I started using Copilot, I have noticed a significant improvement in my productivity and efficiency. I have more time to focus on the strategic and creative aspects of my work and less time on the mundane and repetitive tasks.
I have also improved the quality and consistency of my services and increased the satisfaction and loyalty of my clients. Copilot has become my trusted partner and advisor, and I can't imagine working without it.
